How to email HR for a job as a fresher

Most fresher applications on job portals are never read by a person. An email to the hiring inbox a company published often is, because it lands where a recruiter is already looking, and it's from one person about one role. Here's what works, from 800+ emails sent while building applyrn.

1. Find the right address

Use an address the company published itself: the careers page, the job post, or the company's LinkedIn page. Typical ones are careers@, jobs@, hr@ or talent@ the company's domain. Don't guess personal addresses like [email protected]: guessed emails bounce, and a bounce hurts your Gmail's reputation for the next email.

2. Write a subject that says the role

The role first, then the two skills from the post that you actually have. No "Request for job opportunity".

3. Keep the body to five or six lines

Hi [Company] team,

I'm [Name], a 2026 B.Tech CSE graduate. I saw the [Role] opening and I'd like to apply.
Two things I've built that match it: [project, one line, with a number], and [project or internship, one line].
I work with [3 skills from the post].
My resume: [link]. I can start [when].

Thank you,
[Name] · [phone]

Write the two projects for this role, not for every role. A recruiter decides in seconds whether you match the post; make the match obvious.

4. Send it from your own Gmail, one at a time

Mass-mailing tools send hundreds of identical emails from one address in minutes, and spam filters notice. One email per role, sent by you, reads as a person writing to a person. A new Gmail account should start with about 20–30 emails a day for its first week.

5. Follow up once

If there's no reply in five working days, reply to your own email with two lines: you're still interested, and one new thing (a project update, availability). Then stop. Never email the same inbox again within 30 days for the same role.

Questions

Is it okay to email HR directly for a job?

Yes, when you write to an address the company published for hiring and you're eligible for the role. Keep it short, specific to one role, and follow up once at most.

What should be the subject when emailing HR for a job?

The role and your batch, plus two skills from the post that you have, for example: "Application: Backend Developer (2026 batch), Java and Spring Boot".

How many emails can I send to HR a day?

From a personal Gmail account, about 20–30 a day in the first week, then up to about 100, each one written for its role and sent one at a time.

Apply rn. applyrn finds new jobs you're eligible for every 30 minutes, finds the inbox the company published, and writes a personal email from your resume. You press Send, from your own Gmail.
